Job Description:
A Front Office Receptionist at a diagnostic center acts as the first point of contact, greeting patients, scheduling appointments, and managing administrative tasks such as insurance verification, billing, and patient record maintenance. They ensure smooth, efficient operations, maintain confidentiality, and provide compassionate customer service to patients.
Key Responsibilities
- Patient Greeting & Check-in: Welcoming patients, visitors, and vendors professionally, conducting registration, and ensuring a comfortable, calm environment.
- Scheduling: Managing appointments for diagnostic services (X-ray, MRI, blood tests) via phone or in person, ensuring optimal staff and room utilization.
- Administrative Duties: Answering, screening, and forwarding phone calls; managing emails; and maintaining patient records.
- Billing & Insurance: Assisting with insurance verification, collecting co-payments, and preparing customer bills.
- Communication: Communicating with doctors, technicians, and other medical staff to facilitate patient flow.
- Office Maintenance: Keeping the reception area clean and organized, and managing office supplies.
Required Skills and Qualifications
- Communication Skills: Strong verbal and written communication for handling patients and phone inquiries.
- Technological Proficiency: Familiarity with practice management software (PMS), patient portals, and office technology.
- Organizational Skills: Ability to handle multiple tasks, including scheduling, billing, and patient inquiries, simultaneously.
- Customer Service: Compassion, empathy, and professionalism in managing patient anxieties and complaints.
- Confidentiality: Strict adherence to patient privacy standards (e.g., HIPAA) and protecting sensitive information.
