Job Description:
A Dispatch Officer coordinates the movement of goods, vehicles, and field personnel. They schedule departures, plan delivery routes, track shipments in real time, and manage communication between drivers, warehouses, and customers to ensure operations run safely and on time.
Core Responsibilities
- Scheduling & Routing: Plan efficient routes using mapping software and assign daily schedules to drivers or field crews.
- Communication: Act as the main contact point via phone, email, or two-way radio to relay updates and instructions.
- Real-Time Tracking: Monitor vehicle GPS locations and adjust plans for traffic, weather, or delays.
- Documentation: Keep accurate logs of shipments, delivery times, incident reports, and transport bills.
- Problem Solving: Resolve scheduling conflicts, vehicle shortages, or customer complaints quickly under pressure.
Skills & Qualifications
- Communication: Clear verbal skills to give instructions and active listening to gather facts.
- Multitasking: Ability to handle multiple phone lines, messages, and tracking systems at once.
- Technical Literacy: Proficiency with MS Excel, GPS mapping tools, and enterprise dispatch software.
- Composure: Strong decision-making skills to stay calm and prioritize urgent issues.
Requirements
- High school diploma or equivalent.
- Prior experience in logistics, customer service, or administrative coordination is preferred.
