Job Description:
An Executive Assistant (EA) to a Director for Associates acts as a high-level strategic partner and gatekeeper, providing comprehensive administrative, operational, and liaison support to ensure the director’s time is optimized and daily operations run smoothly. This role often involves acting as a key point of contact for staff, managing complex schedules, and handling confidential information. [1, 2, 3]
Core Responsibilities
- Calendar & Meeting Management: Manage the Director's calendar, prioritizing meetings and appointments. This includes organizing meetings, preparing agendas, taking minutes, and following up on action items.
- Communication & Liaison: Serve as the primary point of contact between the Director and internal/external stakeholders, including staff, clients, and partners.
- Administrative Support: Handle correspondence, email, and phone calls; manage files, records, and reports.
- Travel & Logistics: Arrange travel, including flights, accommodation, and itineraries.
- Project & Operational Support: Assist in special projects, conduct research, and compile data for presentations and reports.
- Process Improvement: Review operating practices to identify inefficiencies and suggest improvements.
Key Qualifications & Skills
- Experience: Proven experience as an Executive Assistant, personal assistant, or in a similar administrative role.
- Communication: Strong written and verbal communication skills.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant project management software.
- Discretion: Ability to handle sensitive and confidential information with high integrity.
- Organization: Strong organizational and time-management skills, with the ability to prioritize in a fast-paced environment.
- Education: Bachelor’s degree in Business Administration or a related field is often preferred.
