Job Description:
The Dispatch Supervisor will oversee daily dispatch and shipment schedules for pharmaceutical products, diagnostic samples, or medical equipment, ensuring adherence to safety regulations and timely delivery. They manage a team of drivers/couriers and coordinate with warehouse, customer service, and technical departments to ensure seamless B2C/B2B operations, aiming for high customer satisfaction and strict compliance.
Key Responsibilities
- Operational Oversight: Manage daily dispatch operations, including route planning, scheduling, and real-time tracking of shipments (medicines, test kits, devices).
- Team Leadership: Supervise and train drivers, dispatchers, and assistants, conducting performance evaluations and ensuring adherence to SOPs.
- Regulatory Compliance: Ensure all dispatch activities comply with health safety protocols, drug transport regulations, and patient privacy standards (e.g., FDA guidelines).
- Inventory & Documentation: Oversee inward/outward inventory, ensuring accuracy in picking, packing, labeling, and documentation (invoices, E-way bills, proof of delivery).
- Performance Monitoring: Monitor KPIs (on-time delivery, dispatch accuracy, courier performance) to identify improvements.
- Problem Resolution: Actively manage and resolve dispatch delays, damaged items, or customer complaints in real-time.
- Technology Utilization: Utilize Dispatch Management Systems (TMS), GPS tracking, and advanced Excel for tracking, reporting, and data analysis.
Required Qualifications & Skills
- Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
- Experience: 3-5 years of experience in dispatch or warehouse operations, with at least 1-2 years in a supervisory role, preferably in pharma or e-commerce.
- Technical Skills: Advanced Proficiency in Microsoft Excel (PivotTables, VLOOKUP) and experience with TMS or ERP software.
- Regulatory Knowledge: Familiarity with health safety standards and pharmaceutical shipping procedures is highly preferred.
- Leadership: Strong team management skills with the ability to work under pressure.
- Communication: Excellent interpersonal skills to liaise with drivers, customers, and internal clinical teams.
