Job Description:
The HR Assistant will support the Human Resources department by handling administrative duties, managing high-volume recruitment, onboarding new staff across multiple locations, and maintaining employee records. The goal is to ensure smooth HR operations and provide excellent support to employees and managers at all company locations.
Key Responsibilities
1. Recruitment & Onboarding (High Volume)
- Post job openings on various platforms (job boards, social media) and screen resumes for hourly and staff positions.
- Coordinate interviews, background checks, and reference checks for applicants across different branch locations.
- Facilitate new hire orientation, prepare onboarding materials, and ensure all employment paperwork (I-9, tax forms) is completed accurately.
2. HR Administration & Records Management
- Maintain accurate digital and physical employee files, ensuring compliance with data privacy regulations.
- Update HR databases (HRIS) with changes in employee status, including promotions, salary updates, or resignations.
- Track and manage employee leaves, absenteeism, and attendance records, providing data to payroll.
3. Employee Relations & Communication
- Serve as the first point of contact for employee inquiries regarding policies, benefits, and procedures.
- Assist in resolving employee complaints and grievances promptly and professionally.
- Support the implementation of HR programs, company culture initiatives, and staff recognition events.
4. Compliance & Payroll Support
- Assist with payroll processing by collecting and validating employee hours, leave, and bonus data.
- Ensure all branch locations comply with federal, state, and local labor laws and company regulations.
Required Skills & Qualifications
- Education: Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Experience: 5+ years of experience in an HR assistant or administrative role, preferably within a retail, hospitality, or multi-site environment.
- Communication: Excellent verbal and written communication skills to interact with staff at all levels.
- Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Human Resources Information Systems (HRIS) or Applicant Tracking Systems (ATS).
- Organization: Strong attention to detail, organizational skills, and ability to prioritize tasks in a fast-paced environment.
- Confidentiality: Proven ability to handle sensitive and confidential information with discretion.
Preferred Qualifications
- Knowledge of local labor laws.
- Experience with mass hiring/recruitment.
Working Conditions
- This role may require occasional travel to different chain locations.
- Requires a balance of desk work (data entry/screening) and active in-person interaction with employees.
