A Record Keeper in the real estate industry manages and organizes vital property files, legal documents, and transaction histories. They ensure legal compliance, maintain databases, and facilitate smooth communication between agents, brokers, and government bodies. [1, 2]
Key Responsibilities
- Documentation: Prepare, process, and securely store real estate contracts, leases, disclosures, and amendments.
- Database Management: Update and maintain accurate records of property listings, client information, and transaction statuses.
- Compliance & Auditing: Ensure all property files and physical archives align with local zoning, regional land laws, and company retention policies.
- Liaison Support: Coordinate with government revenue/land offices for title deeds, mutations, and registrations.
- Information Retrieval: Quickly locate and provide essential documents for legal teams, agents, or client inquiries. [1, 2, 3, 4, 5]
Required Qualifications & Skills
- Experience: 2–5 years of administrative or clerical experience, specifically in real estate, land management, or property administration.
- Technical Skills: Proficiency in MS Office (especially Excel), database management, and electronic document management systems.
- Attention to Detail: High organizational skills to prevent missing documents and ensure accuracy.
- Legal Knowledge: Understanding of local land revenue processes and real estate governance
