Job Description:
An Executive Assistant (EA) to a Director provides high-level administrative support by managing the director's schedule, coordinating meetings and travel, handling correspondence, and acting as a gatekeeper for the officeKey responsibilities include preparing documents and presentations, managing confidential information, overseeing projects, and serving as a liaison between the director and other stakeholders. 
 
Core responsibilities
    • Administrative and clerical support:
        • Manage the Director's calendar, scheduling meetings and appointments. 
           
       
    • Handle all incoming and outgoing correspondence, including emails and calls. 
       
    • Prepare documents, presentations, reports, and agendas. 
       
    • Maintain organized and confidential filing systems. 
       
  • Logistics and travel:
     
  • Coordinate and arrange travel, including flights, accommodations, and visas. 
     
  • Manage logistics for meetings, conferences, and events, both internal and external. 
     
  • Liaison and communication:
     
  • Act as a primary point of contact between the Director and internal/external stakeholders, staff, and other departments. 
     
  • Screen and prioritize communications, acting as a "gatekeeper" to ensure the Director's time is used efficiently. 
     
  • Project and office management:
     
  • Take ownership of assigned projects, track deadlines, and ensure timely completion. 
     
  • Assist with operational oversight and monitor institutional activities. 
     
  • Conduct research and gather information as needed to support the Director. 
     
Key qualifications
  • Proven experience in an executive assistant or similar senior administrative role.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong verbal and written communication skills.
  • High degree of professionalism and discretion to handle confidential information.
  • Proficiency in standard office software, such as the Microsoft Office Suite.
  • Problem-solving skills and the ability to work independently as well as collaboratively.
